Viewing outstanding documentation

This article covers how to view your outstanding notes and charge slips from the EHR dashboard.

At the end of each billing cycle, Rula's billing team will email you a list of any outstanding notes or charge slips that need to be submitted. Submitting your notes and charge slips in a timely manner ensures that you get paid on time and that the patient’s insurance company is billed for the services you’ve provided.

Step-by-Step Guide

The steps below and the video above will cover how to view your outstanding notes and charge slips in AdvancedMD. 

Charge slips

  1. Click on the "Charge Slips" icon on the home page of your EHR.

  2. This will show you everything that is waiting to be actioned in the EHR, such as unsigned charge slips.

  3. To see the whole picture, click on the filter icon in the upper right-hand corner of the EHR.

  4. Choose "No Charge Slip" and "No Documentation Found" in order to see all documentation that needs to be completed.

  5. Click "Apply" to apply the filters and the results of the filters will pop up.
    1. Note: if you accidentally hit "reset" you will need to reset your filters for the next time you sign in. (See 01:33 in the video above for more).
  6. Outstanding documentation will be displayed in buckets based on the type of documentation.

    1. No Documentation Found - This means that there was no note or item linked to the charge slip. Click this row to see the document.
    2. No Charge Slip - This means that there is a document attached to the appointment, but there is no signed charge slip attached.
    3. Not Signed - This means that there is a charge slip out there that is saved, but it is not signed and there is a note attached to it. 

Signing unsigned charge slips

  1. Click on the document you would like to complete under "Not Signed"
  2. Scroll on the patient's timeline on the left side of the screen and locate the unsigned charge slip. It will be denoted with a green dollar sign icon

  3. Type in the password: 1234
  4. Click "Sign"

  5. The item will be removed from the "Not Signed" category.

Unsigned Notes

  1. Click on the Notes icon on the home page of the EHR

  2. This will show everything that is not signed on a note
  3. Click on a note under "Not Signed" to see what needs to be signed
  4. Scroll down on the timeline on the left-hand side of the page and click on the date associated with the unsigned note.
  5. Check to be sure that everything is accurate in the note, then click Sign at the top of the page.
  6. Type in the password: 1234
  7. The charge slip will auto-populate - check to be sure everything looks correct
  8. Click Sign again and type in the password (1234) one last time
  9. That session will be removed from the No Note bucket and the Charge Slip bucket
