Accessing telehealth links and buttons
Telehealth links appear at the bottom of a scheduled appointment’s details box. You can click Copy to copy the patient-facing link to add it to a calendar or share easily. This copy button produces the patient-facing link only. Providers cannot join the call on this copied link.
Note that the 'Start Video Appointment' button will only appear in the portal within 30 minutes of the scheduled appointment start time. Providers must join the session by using this button.
If you or a patient copy, paste, and click the link too early, you'll see this message pop up in a new window that says: This appointment hasn't started yet. You'll be able to join 30 min before the start time.
If you click the link after the meeting has ended, you'll instead see a message that says: This appointment has ended.
Guided Steps
Starting a telehealth session
Before you begin your Telehealth session, be sure to log out of your personal Zoom account if you have one.
To start a Telehealth session from your calendar:
- Log into the Rula provider portal.
- Stay on the Schedule tab.
- Find and click on the appointment up to 30 minutes before its starting time.
- Click Start video appointment.
- A new window will open displaying the meeting, so please ensure any pop-up blockers have been disabled on your browser. You can review this resource for assistance: How to allow pop-ups in Google Chrome.
- Either click the Open zoom or Launch Meeting button
- Select your preferred audio conference option or click Join with computer audio.
- The telehealth session will begin.
Rejoining a call
If there’s a technical glitch or the call gets disconnected:
- Rejoin the call by exiting Zoom
- Navigate back to the appointment on your calendar in the Rula provider portal
- Click on the telehealth button again
If you or your patient are experiencing further technical difficulties preventing the session from starting, please give the patient a call. Then, you can go ahead and continue the session by phone. You can find the patient's phone number by clicking on the appointment from your calendar in the Rula provider portal. Patient phone numbers are available below the email address line.
