This article includes a step-by-step guide for the initial setup of your Rula provider portal account. Beginning with email verification and password creation, it walks you through the process of establishing two-factor authentication via the Microsoft Authenticator app, including a QR code scan for enhanced security. A secret key is also provided to you as a reliable backup login method. The final verification process involves verifying your personal details to ensure secure access.
Guided Steps
Note: The provider portal only functions best on a laptop or computer, rather than a mobile phone or tablet.
To set up your Rula provider portal account:
Step 1: Open the provider portal sign in page and enter the email address associated with your Rula account. Once you enter your email, you’ll see instructions to check your email. If you have an account associated with your email, you’ll get a welcome email. This may take a couple minutes to show up.
Step 2: Once you receive the welcome email, click set up portal account and enter your email, temporary password and a new, secure password of your choosing. Then, click create password.
Step 3. Enter your email and password and click Sign in
Step 4: Enter your 10 digit NPI and click Verify
Step 5: Based on your application progress you may be directed to:

- Continue your application: If you haven't finished, you'll be prompted to click Continue Application.
- Complete additional setup tasks: If certain sections are still required, you'll be guided to complete them.
- Please navigate to the section Complete additional setup tasks below for further instructions.
- Set up extra security: If all sections are complete, you'll be asked to set up account authentication.
- Please navigate to the section Set up extra security below for further instructions.
- Continue your application: If you haven't finished, you'll be prompted to click Continue Application.
Complete additional setup tasks
To complete any remaining tasks in your checklist, click the Get Started button next to the section that needs completion. In this example, we'll walk through completing the Create Provider Profile section.
- Click Get started to create your provider profile.
- Next you'll click Get started to complete the following:
- Once the provider profile section is complete, you'll be able to complete Rula 101 onboarding courses
- Once complete, you'll be brought back to the Setup screen
Set up extra security
- Click Setup extra security to setup up Two Factor Authentication (2FA) to finish the portal setup so that you can start managing your practice
- Enter your portal password then click Get started
- Select the type of smartphone you have so you can set up 2-factor authentication. Then click Next

During account setup, there will be written instructions on the left side of the page, and a video demonstration on the right side.
- Follow the instructions to download the Microsoft authenticator app, then click Next
- If you already have an authenticator app, click continue to next step
- Follow the instructions to download the Microsoft authenticator app, then click Next

- Follow the instructions to set up your authenticator. Once you have opened the camera on your authenticator app, click Ready to scan QR code.
- Scan the QR code to add the Rula Portal account to your authenticator app. Once added, enter in the 6 digit code from authenticator app and click Authenticate my device.
- After your account is authenticated, you’ll be asked to save your secret key. Once you have saved the secret key, click Return to portal
- Once you complete the Two-Factor Authentication process, your portal is set up and you're ready to start seeing clients.
Resetting your password
Providers can perform their own password resets via the Forgot password link on the login page. If you have an account, you'll receive an email to reset your password. A regular password reset by the providers does not require 2-factor authentication to be set up again.
If, for any reason, you cannot reset your password by yourself, please reach out to support@rula.com to make a request. After the Rula Support team member performs a portal reset, you must both create a new password and set up the 2-factor authentication again. Failure to do so will result in the system not accepting your new permanent password after you have entered the temporary password.
