The Kaiser Community Portal provides Rula providers with view-only access to health records, lab results, and clinical documentation for their Kaiser patients. Having visibility into these records supports safer, more coordinated, and measurement-informed care.
In this article, we will cover how to register for an account, what to expect during the approval process, and how to navigate the portal once you receive access.
What the Kaiser Community Portal Provides
The portal gives you view-only access to your Kaiser patients' medical histories, lab results, medication lists, and clinical notes. Accessing these records directly in Kaiser’s secure platform helps inform your ongoing treatment plans and provides a full picture of their care.
How to Register for an Account
All providers must complete an individual registration form through Kaiser to be granted access.
Open the Registration Link: Go directly to the Kaiser Community Portal Registration Page.
Enter Required Details: Fill out all registration fields carefully. Because specific manager, organization, and facility details are required to verify your association with Rula, please follow our step-by-step setup guide.
👉 Review the Kaiser Community Portal Registration Instructions Guide for the exact information to input during signup (including required department, address, Tax ID, and supervisor details).
What Happens After You Submit
Once you submit your registration request, Kaiser will review your application:
Approval: Within a few business days, Kaiser will email you confirming your approval along with your assigned username to log into the portal.
Denial or Issues: If your request is denied or you encounter registration issues, you will need to submit a support case directly to Kaiser.
👉 Submit a Kaiser Community Portal Support Case to resolve any registration or credentialing issues.
How to Use the Portal
Once your account is activated and you have received your login credentials, you can begin searching for patients and viewing their records.

1. First-Time Search: "Search All Patients"
When looking up a new patient for the first time, you must search the broader regional database:
Navigate to the Search All Patients tab.
Locate the MRN: If you do not have the patient's Kaiser Medical Record Number (MRN), open AdvancedMD, navigate to Demographic Info, and look under Policy #.
Enter the patient's full name and MRN.
Note on MRN format: If the MRN contains leading zeros (e.g.,
000123456), drop the zeros and type only the core digits (e.g.,123456) if the search doesn't return a match.
2. Subsequent Searches: "My Patients"
Once you have accessed a patient’s profile once, they are saved to your local list for easier access:
Navigate to the My Patients tab.
Search by name using the exact format:
LastName,FirstName(do not include a space after the comma, e.g.,Smith,John).
3. Reviewing the Chart
Once inside the patient's profile, select Chart Review from the navigation panel to access clinical notes, lab results, imaging reports, and historical data.
